Reservations

Payment Information
Advance Rental Payment & Balance Payment
To confirm your reservation, we need a rent payment equal to one half of the rental amount and a signed lease. The balance of your rent is due 45 days prior to your arrival. You may pay this balance by bank check or money order.
Reservations made within 30 days prior to arrival date must be Paid In Full within 3 days of booking the reservation.
Check-In Check-out Late Arrivals
Check-In is at our office, 54280 Route 25, Southold. From the office we will meet you at the house and provide a check-in that consists of reviewing the systems, mechanicals and any idiosyncrasies the property may have. This has been very beneficial to our tenants. Check in time is noon or as soon as the property has been cleaned, inspected, and deemed ready for occupancy.
A rental check in form is available to review the house and cover any concerns that may affect your security deposit.
Late Arrivals can happen. If you will be arriving after 5pm, let us know so that arrangements can be made for you. Keys will not be left for pick up.
Check-out time is before 10am on the ending date of your reservation. You are responsible for such items as: placing all debris in outside containers, wash put away all dishes, bed & bath linens left in the bedrooms. If you have any unopened items you would like to donate to the local food pantry, our office will make those arrangements.
Security Deposit
All of our homes require a refundable damage deposit, the amount noted in the individual property listing. The purpose of this deposit is to allow the homeowner to recover some of the expenses incurred from obvious or malicious neglect or from additional cleaning due to a tenant leaving the vacation property in unusually dirty condition. The vacation home will be inspected during your departure, then the deposit remitted within 45 days from the date of your departure.
Cancellations
In cases of cancellation, no refund of rents will be made until the cancelled period is re-rented and confirmed. If the cancelled period cannot be re-rented, no money will be returned, and full rent is still due in full. If the cancelled period is re-rented, any rent monies paid will be refunded to you. A cancellation must be in writing.
Damage
All breakage and damage during your occupancy must be reported to Dennis. Tenants are responsible for and are expected to assure liability for any damage to the house and it's contents, other than normal wear and tear, during their occupancy. Vacation homes with security deposits will be inspected carefully during your departure and your deposit will be adjusted based on the Landlords decision.
Maintenance
All equipment in each vacation home should be in working order. Please report any inoperative equipment to our office promptly. We will make every reasonable effort to have the equipment fixed.
House Cleaning
In addition to the regular cleaning done before your arrival, many of our home owners have a cleaning service on contract. During your stay the home owner may require the Tenant to use the same service. There is no complimentary scheduled cleaning during multiple week stays. We are pleased to offer cleaning services. Depending on the size of the home the typical fee is $50.00 to $75.00 per cleaning. Call the office for details and arrangements.
Dogs
Properties permitting dogs will have a fee ($250.00 unless otherwise noted) for the privilege. Vacation homes that do not clearly state that pets are allowed DO NOT permit dogs.
Beach Permits
Any vacation home lease and vehicle registration will be required to obtain a beach parking sticker for all of the Southold Town Beaches.

The majority of our vacation homes have Internet service available. Talk to our office to discuss details.

Utilities
Most homes that offer air conditioning require an electric meter reading during your check-in. A final reading will be taken during the check-out. The total will be reduced from the security deposit when the Landlord tallies the appropriate billing. Water, oil and gas are included and not charged separately.
